CONDITIONS

 

Deposit

A non-refundable deposit of AUD $1,000 per person (that will go towards your package price) is required to secure your place on our tours. (Sturgis Tour Deposit is $2000 per person & Reunion Tours can be as much as $3500 per person)

Final Payment

We seek your understanding and co-operation in this matter and advise full payment is due 65 days prior to departure. Bookings received after this date will require immediate payment in full and are subject to availability. (Sturgis Tour is 90 Days prior to departure)

Payment by credit card

Merchant fees will be added to the amount being charged to your credit card (MasterCard & Visa Card 2%).

Cancellation

Deposit is nonrefundable at any time. All other monies up to 50 days prior to departure 50%, 49-21 days 75%, 20-0 days 100% of tour price. Airlines and other pre/post packages and suppliers will have their own set of conditions, which can be advised at time of cancellation. (For Sturgis Tour & Reunion Tours - 70 days prior to departure 75%, 69-0 days 100% of tour price)

Single travellers

We are able to pair up solo passengers who seek to share a room if another solo passenger of the same gender is interested in sharing; we offer to put you in touch with each other prior to departure. If both agree to twin share accommodation and/or car hire we require written confirmation of that agreement from both parties via email. If you wish to pursue this offer please mention it on the attached registration/booking form to us, so you can be placed on a list at the time of paying deposit. If an opportunity does not arise then a single supplement will apply.

Travel Insurance

It is a requirement that all passengers participating in our tours effect appropriate travel insurance at the time of booking. Your travel insurance policy must include coverage for cancellation fee and vehicle excess. We are happy to reccomend Suresave Travel Insurance. Proof of insurance cover is required to be submitted to Route 66 Tours prior to departure.

Documentation

Route 66 Tours has taken every precaution to ensure that information and details provided about each tour, and the tour itinerary is correct and accurate. A considerable amount of pre planning and site inspections has been undertaken by Route 66 Tours to ensure that details mentioned in the itineraries meet our standards. Every effort is made to ensure that details are correct at the time of distribution, however no responsibility or liability is accepted for any errors, omissions, or alterations contained in either documentation or the itinerary. At times it is simply necessary to make changes to our detailed itinerary and inclusions. Documents are non transferrable to another name and/or traveler.

Price changes

Currency fluctuations, fuel surcharges, changes in airfares, and/or tour costs can happen without notice. It is our intention that any such changes will be advised in advance; however Route 66 Tours is not responsible for any increases applied by any of our airlines, or hotels, car/bike hire companies, nor for any currency fluctuations. In the event of significant movements in currency exchange rates it may be necessary to apply from time to time a currency surcharge. We hope to never put our prices up after invoicing clients however it is possible that in the future it may be unavoidable.

Hotels & Flights

Hotels listed in the itinerary are correct at time of publication but are subject to change prior to the tour departure. Flight times are subject to change without notice. As we hand pick our special Route 66 hotels we do everything in our power to use the same ones over and over again. At times it may be necessary to change due to availability. Please advise if you have a frequent flyer number, special meal preferences or seat requests, however note these cannot be guaranteed.

Amendment fees

Amendments made at the time of reservation and before deposit incur no charges. Amendments made after payment of deposit may incur a fees applied by any associated operator.

Termination

No refunds will be applicable to any termination of any reservations or tours due to unforeseen circumstances once commencement of the tour’s departure. Any such claims may be submitted to your insurance provider.

Minimum group size

Our Route 66 tour is costed on a minimum group size of 20 passengers (10 Cars) and 20 Passengers on Harley Davidson’s (10 Bikes). Should the group number of either category fall below this, Route 66 Tours reserves the right to make any appropriate adjustments, including cancellation. In the event of cancellation a full refund of all monies paid will apply. To date we have never cancelled any of our Route 66 Tours.

Vehicles

All vehicles are subject to availability. We reserve, pay for, and desire to confirm the vehicles of choice for our tours, but can't be held responsible for issues with supply that fall outside of our control. If our primary vehicles are not available, you will be furnished with similar.

Responsibilities

An E-Passport is now required for all travel to the USA. Airline tickets, bookings, & passports must be in the same name. It is the responsibility of all passengers to ensure that they hold a current passport with a minimum of 6 months validity from your return date of travel, & any visas or documentation necessary, including any recommended vaccinations. It is the responsibility of any passenger to take whatever precaution is necessary to avoid any occurrence of Deep Vein Thrombosis.

Route 66 Tours does not accept any liability for injury, damage, loss, delay, additional expenses, cancellation, itinerary adjustments or inconvenience caused either directly or indirectly by force majeure or other events which are beyond our control, or which are not preventable by reasonable due diligence on the part of Route 66 Tours. Route 66 Tours has exercised due care with its selection of reputable operators such as airlines, Car/Bike hire companies, hotels, tour operators and/or other suppliers.

Some of these operators limit & exclude liability in respect of death, personal injury, delay & loss or damage to baggage. In every case it is you the clients responsibility to follow the laws of the country visited and show due care in regards to all activity undertaken while on tour including, but not limited to, driving your motor vehicle or riding your motor bike. High Quality travel insurance, such as the one offered by Route 66 Tours, for your trip is a requirement for travel and your responsibility to secure.
